Managing Large Outlook MSG Archives Without Outlook

Over the past few weeks - I had to review a large collection of standalone Outlook MSG files that had been exported from different user mailboxes. At first I assumed Windows would let me search through them easily, but I quickly realized that handling thousands of individual MSG files is very different from working inside Outlook.

Some of the challenges I ran into were:

  • Finding emails between specific dates.
  • Searching for multiple keywords inside message bodies.
  • Looking for messages from particular senders or recipients.
  • Previewing attachments without opening every email.
  • Reviewing archived emails on a machine where Outlook wasn't installed.

Opening files one by one became impractical once the archive grew larger. Windows Search also wasn't very helpful because it couldn't reliably search the content inside standalone MSG files.
