What's the best IMAP backup tool for managing multiple business email accounts?
Our company manages dozens of IMAP-based email accounts, and we're looking for a reliable way to back them up regularly without spending hours exporting each mailbox individually. Most of the free methods we've tried are slow, especially when multiple users need to be processed at the same time.
While researching, I found the ** MacSonik IMAP BackUp Tool**, and it seems designed for handling multiple mailboxes efficiently. It supports backing up single or multiple IMAP accounts simultaneously and even allows administrators to import multiple user accounts through a CSV file, which could save a lot of manual work.
Another thing I found useful is that there doesn't appear to be any mailbox size limitation, so even larger mailboxes can be backed up without splitting the job into several sessions. The software also lets you preview mailboxes before starting and select only the folders that actually need to be processed, which sounds practical for routine backups.
One feature I haven't seen in many tools is the ability to remove duplicate emails automatically during backup. It reportedly compares fields like Subject, From, To, and Body to avoid creating multiple copies of the same message. There's also a selective date filter for backing up emails from a particular period instead of downloading an entire mailbox every time.
Besides creating backups in formats such as PST, PDF, MBOX, EML, MSG, CSV, DOC, and DOCX, it also supports direct migration to Gmail, Google Workspace, another IMAP account, and Migrate IMAP to Office 365 if you ever decide to move away from your current email platform. Additional options like migrating emails without attachments, saving attachments separately as PDF, splitting oversized PST files, and even clearing mailbox data after a successful backup make it look like a complete email management solution.
