How to Download Emails from Outlook Web in Bulk?

Downloading emails in bulk from Outlook Web (OWA) is not as straightforward as many users expect. Unlike the desktop version, Outlook Web does not provide a direct “Export All Emails” feature, making bulk backup a bit challenging.

Manual Method (Limited Use)

Outlook Web allows you to download emails individually:

  • Open an email
  • Click the three dots (⋯)
  • Select Download

However, this method is only practical for a few emails and not suitable for bulk export.

Workaround Methods

Use Microsoft Purview (Admin Required)

  • Access Microsoft 365 Compliance Center.
  • Use eDiscovery to search and export emails.
  • Download emails in PST format.

This method works well for organizations but requires admin permissions.

Use Outlook Desktop Client

  • Add your Outlook account to desktop Outlook.
  • Go to File > Open & Export > Import/Export
  • Export mailbox to PST.

This is one of the most reliable native solutions.

Recommended Solution (Easy & Efficient)

For non-technical users, using a professional utility is the best approach. The Cigati Hotmail Backup Tool is a reliable solution that helps users download emails from Outlook Web in bulk without data loss.

  • Backup the complete mailbox in one go.
  • Save emails in multiple formats (PST, MBOX, EML, etc.)
  • Maintain folder hierarchy and attachments.
  • User-friendly interface for quick backup.

Outlook Web has limitations when it comes to bulk email download. While manual and admin-based methods exist, they are not convenient for everyone. A dedicated solution like Cigati Hotmail Backup Tool ensures a fast, secure, and hassle-free backup experience.
